Choose a clear direction
Select a small group of colours, textures and visual references. Explain what you like about each example instead of asking a supplier to copy another event exactly. The venue's existing flooring, walls, furniture and lighting should influence the design.
Prioritise high-impact areas
Focus spending where guests will notice it most. This may be the entrance, ceremony backdrop, tables, stage, cake display or photograph area. A few coordinated focal points often feel more considered than many unrelated decorations.
Check venue rules first
Ask what can be attached to walls, ceilings and furniture. Confirm rules for candles, confetti, balloons, flower petals, haze, electrical lighting and outdoor structures. Some installations need venue approval, method statements or additional insurance.
Measure the space
Provide accurate dimensions and photographs, or arrange a site visit where appropriate. Check ceiling height, door widths, lifts, stairs, loading routes and the location of sockets.
Coordinate suppliers
Florists, balloon decorators, lighting suppliers, cake makers and furniture companies may all need access at the same time. Share a schedule and nominate who decides final positioning. Confirm which supplier provides stands, frames, weights, extension leads or fixings.
Plan safe installation
Freestanding items must be stable and should not narrow emergency routes. Electrical items need suitable equipment and safe cable management. Outdoor décor requires a wind and weather plan.
Consider flowers and balloons carefully
Ask the florist about seasonal availability and suitable substitutions. For balloons, discuss installation life, temperature and disposal. Avoid releasing balloons outdoors and ask how materials will be removed or responsibly reused.
Agree setup and removal
The advertised event start time is not the supplier's access time. Confirm when the room becomes available, when tables will be positioned and when all décor must be removed. Overnight collection may incur additional venue or supplier charges.

- Hire items versus items you keep.

Room layouts and weather can change. Identify the elements that are essential and those the stylist may adapt on the day. A well-planned design gives the supplier enough direction to deliver a coherent result without creating avoidable installation problems.
